For the benefit of both your organization and your event, please familiarize yourself with the following TheatreWorld® Backdrops rental information. Doing so will ensure the most successful rental experience for you by ensuring that you not only enjoy the finest quality backdrops available, but also that you do so in the most cost-effective manner possible.

 

 

Rental Policies

If you have already reserved your backdrop(s) or drapery product(s) for your event, the following was provided and agreed to by you when you placed your order. If you have not placed your order, please review below and have the information available. WITHOUT RECEIVING ALL OF THE FOLLOWING INFORMATION FROM YOU, WE CANNOT PROCESS YOUR RESERVATION.

RENTAL AGREEMENT An authorized representative from your organization must read, agree to, and execute the standard TheatreWorld Backdrops rental agreement and submit it electronically to our administrative team. Please call (888.TWB.DROPS) for assistance. 


RENTAL PAYMENT. In order to confirm your reservation, we require a non-refundable $100.00 deposit per item and executed rental agreement. We accept reservations up to 18 months in advance of shipment. For reservations 0-5 months in advance of shipment, full payment and executed agreement is needed with the order. Schools may use a Purchase Order and executed agreement in lieu of a deposit. For orders 6-18 months in advance of shipment, a non-refundable $100 deposit per backdrop and executed rental agreement is required. We accept all payments by E-check, debit card, or credit card: VISA, MASTERCARD, AMERICAN EXPRESS, or DISCOVER. If your organization requires the use of Purchase Orders, please call us.


RENTAL SHIPMENT. TheatreWorld will ship all items via UPS or FedEx ground, unless otherwise specified by The Customer or during the Holidays. TheatreWorld's Round Trip shipping charges include: product shipping to The Customer and The Customer returning the Product to TheatreWorld via UPS or FedEx ground using TheatreWorld provided labeling; insurance covers the Product replacement or repair only should the Product be damaged or destroyed by UPS or FedEx. Special Processing (Customer's Shipper) - TheatreWorld will ship to The Customer with UPS or Federal Express provided that The Customer has an existing account with the carrier and provides Product damage insurance. The Customer agrees to provide TheatreWorld with the name and phone number of the person or shipping agent who will receive your order and the exact address where the order will be accepted. The Customer is also responsible for returning the Product back to TheatreWorld by The Customer’s Contract Return Date. All return shipments must be returned to TheatreWorld Backdrops, 110 Dunbar Avenue S., Suites A & B, Oldsmar, Florida 34677. 

RENTAL LATE RETURNS. If The Customer returns the Product to TheatreWorld after the Return Date specified on the order, The Customer agrees to pay TheatreWorld a late fee of One Hundred Twenty-Five Dollars ($125.00) per day, per item, until the Product is received by TheatreWorld.

RENTAL LATE RETURNS. TheatreWorld’s product rentals are in high demand. We have promised other customers these same items for their special event and it is therefore extremely important that the products be returned as stated in the Rental Agreement. PLEASE NOTE: If for any reason the product(s) are not received as agreed to in the Rental Agreement, you will be invoiced $125.00 per day for each item for each day late until item(s) are received in our warehouse. In addition, any freight upgrades necessary to expedite the item(s) to the next rental customer will be charged to your account.


RENTAL CANCELLATION. TheatreWorld understands that sometimes plans may change and we want to be as flexible as possible. A reservation may be cancelled up to 2 days prior to the scheduled shipment date minus the $100.00 per backdrop non-refundable deposit fee. For any order that is cancelled within two business days or less from the scheduled ship date, the full rental amount will be forfeited.


 

Inventory Condition Ratings

TheatreWorld Backdrops is very proud of not only the quality of our backdrop and drapery designs, but also the handling care and maintenance that goes into every drop, every rental, every time. After each rental return, our backdrops are carefully inspected to assign a Backdrop Condition Status between 1 and 5 and to assess when repairs may be needed. This Backdrop Condition Status is very important as it accurately depicts to you, our Customer, the quality of the backdrop or drapery product you are considering renting. See grading system detail. 


5. Backdrop is new or in like-new condition. Drop has either not yet been rented or rented only a few times. Repairs, if any, have been made by a highly-trained team. Drop is useable for all venues, including when the audience is within a foot of the backdrop.


4. Backdrop is in newer condition. Item has been rented many times and may have slight paint fade due to theatrical lighting. May include minor cracking of the paint areas. Repairs, if any, have been made by a highly-trained team. Drop is useable for a majority of venues and only recommended when the audience is at least 10 feet away from the backdrop. Available for discount rental.


3. Backdrop that has been rented and returned with excessive scuff or damage that can not be repaired to a Condition 4 or 5 status. Flaws may be seen from the first couple of rows of the audience approximately 20 feet away. Useable for stage venues only. Can be improved with proper lighting or set arrangement. Available for discount rental.


2. Backdrop that has been rented multiple times and returned with excessive wear associated with heavy cracking or fading of the paint throughout. Flaws are seen from the first few rows of the audience approximately 20 feet away. Useable for some stage venues. Can be improved with proper lighting or set arrangement. Backdrops with this rating no longer meet TheatreWorld’s quality standards and have been removed from rental inventory. Available for discount purchase.


1. Backdrop that has been rented multiple times and returned with heavy wear associated with heavy cracking of the paint throughout. Useable for certain stage venues. Backdrops with this rating have been removed from rental inventory. Available for discount purchase.


 

Backdrop Care and Maintenance

TheatreWorld offers its customers a detailed document regarding proper backdrop handling, unpacking, hanging, re-packing, etc.,not only to ensure that the backdrop is displayed in its optimal condition for your event, but also to avoid accidentally damaging the drop and incurring additional fees.Return shipping labels are also included in your package to simplify event logistics.
